Position Overview:
Now recruiting Admin Officer/Secretary in a pharmaceutical company plays a crucial role in ensuring the smooth operation of day-to-day administrative tasks, supporting executive and departmental functions, and facilitating communication across various teams. This position involves managing office activities, coordinating meetings, maintaining records, handling correspondence, and assisting with regulatory and compliance documentation, all while adhering to the specific needs and demands of the pharmaceutical industry.
Key Responsibilities:
• Provide general administrative support to senior management, department heads, and teams as needed.
• Manage calendars, schedule appointments, and coordinate meetings for executives and team members, including internal and external stakeholders.
• Organize travel arrangements, including flight bookings, hotel accommodations, transportation, and itinerary management for company executives and visitors.
• Prepare, file, and maintain both physical and electronic records, ensuring proper documentation of contracts, agreements, meeting minutes, and other essential records in compliance with industry regulations
• Assist in the preparation and submission of regulatory documents, reports, and compliance filings related to pharmaceutical operations.
• Ensure that documents are appropriately archived and readily accessible for audits, internal reviews, or legal purposes.
• Serve as the point of contact for internal and external communications, responding to inquiries and directing requests to the appropriate department.
• Draft, proofread, and manage official correspondence, memos, and reports, ensuring adherence to company standards.
• Coordinate and distribute internal newsletters, announcements, and other communications.
• Organize and facilitate meetings, including scheduling, setting agendas, taking meeting minutes, and ensuring follow-up on action items.
• Coordinate video conferences and teleconferences, ensuring that all technical aspects are in place.
Qualifications:
• Bachelor’s degree in Business Administration, Health Administration, or a related field preferred.
• Minimum of 3-5 years of experience in administrative or secretarial roles, with preference given to those with experience in the pharmaceutical or healthcare industry.
• knowledge of office management systems, medical/pharmaceutical regulations, and compliance standards.
• Excellent organizational, multitasking, and time-management skills, with attention to detail.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant office software.
• communication and interpersonal skills, with the ability to interact effectively with executives, employees, and external stakeholders.
• Ability to handle confidential information responsibly and professionally.
• Experience with document management systems, meeting coordination, and travel booking is a plus.
